Position Overview:
The Administrative Assistant will provide support to an Artistic Officer on one of the Creative teams. The individual will utilize time management, administrative and organizational skills to support this executive office.
This position is in-person at our Corporate Headquarters in New York, NY.
Key Accountabilities:
CALENDAR AND TIME MANAGEMENT
- Work with the Artistic Officer to maintain and balance fluid calendar to meet the needs of the officer and Design Studio at large.
- Oversee the planning (flights, hotels, visas, car rentals, reservations, etc.) and itineraries of a very busy and dynamic international travel schedule.
- Work alongside Design Management to ensure that the Chief Artistic Officer has adequate time allotted to review and critique designs in order to meet deliverables.
- Partner with Design Management to create the agenda and prepare necessary materials for meetings with the CEO and EVP.
ADMINISTRATION & COMMUNICATION
- Manage and maintain the upkeep of library of current designs for the Artistic Officer.
- Prepare and draft general correspondence.
- Tidy, organize and maintain the office of the Artistic Officer.
- Review and systematically approve expense reports on behalf of the Artistic Officer.
- Develop and foster relationships with cross-functional Administrative and Executive assistants.
- Prepare and submit facilities requests on behalf of the Artistic Officer.
- Manage jewelry borrowing (requesting, tracking and systematically reconciling) on behalf of the executive.
- Ensure that all necessary preparations and tools are in place for scheduled meetings and special events.
PROJECT MANAGEMENT
- Work on special projects as assigned by leadership.
- Manage a wide variety of personal and professional tasks on an as needed basis.
Qualifications:
Required:
- At least 5+ years of administrative experience
- Excellent verbal and written communication skills and ability to work independently with minimal supervision as well as part of a team
- Proficient in Microsoft Word, Excel, PowerPoint and Outlook.
- Excellent organizational skills and attention to detail
- Enjoys working with and supporting others in a highly creative and dynamic environment.
- A strong sense of independence and initiation.
- Ability to work on multiple projects while effectively prioritizing workload.
- Resilient, diplomatic, discreet, confidential and trustworthy.
- Maturity and discretion to handle confidential matters.
- Team player and proactive personality.
Preferred:
- Fluency in the French and English languages.
- Knowledge and passion for creative fields, including design, fashion, art, architecture and film.
The target salary for this position ranges from $85,000-$125,000. The rate of pay offered will be dependent upon candidates’ relevant skills and experience.
