The Engineering Coordinator plays a vital role in supporting the Engineering department's daily operations, project coordination, financial tracking, and interdepartmental communication. This role serves as the administrative backbone of the department, ensuring efficiency in process execution, timely completion of work orders, and compliance with financial and inventory protocols.
Key Responsibilities
Administrative & Project Support:

Coordinate and track Engineering work orders to ensure timely completion

Manage HotSOS requests and assist with guest-related follow-up

Serve as a liaison between Engineering, Finance, and other departments

Provide administrative support for Engineering projects and meetings
-
Maintain all Engineering financial records, licenses, and permits

Manage incoming/outgoing mail and department documentation
-
Schedule building automation systems in accordance with the DDR
-
Assist the Director of Engineering with the CAPEX project system
-
Maintain EcoTrack account and sustainability documentation
-
Support Engineering leadership with inventory management
-
Assist with contractor check-in, documentation, and facility access
-
Provide support in coordinating returns, exchanges, and tracking of packages
-
Occasionally assist with part and equipment pickup for emergency repairs
-
Serve as a primary point of contact for other departments regarding Engineering needs
Budget & Invoice Management:

Manage Engineering’s checkbook, process and scan invoices and bills
-
Collaborate with Finance to monitor and maintain the monthly budget
-
Track expenditures and ensure timely and accurate payment processing
-
Maintain invoice and budget documentation in compliance with internal standards

Manage Engineering’s BirchStreet system and assist engineers with purchasing
General Accounting & Inventory:

Apply basic accounting principles to support financial accuracy

Maintain accurate inventory counts and control

Ensure data entry integrity in various accounting and operational systems

Register company vehicles and schedule maintenance as needed
Qualifications
-
High school diploma or equivalent required
-
Strong proficiency in Microsoft Office Suite, including Outlook, Word, and Excel
-
Experience with BirchStreet, HotSOS, and/or building automation systems preferred

Excellent organizational skills and attention to detail

Ability to work independently with a high degree of accuracy

Strong verbal and written communication skills
-
Ability to maintain confidentiality and build positive internal relationships

Valid driver’s license preferred (for occasional local pickups)
