As an Administrative Assistant, you will play a crucial role in ensuring smooth daily operations and successful project execution. As an Administrative Assistant, you will be responsible for:
- Managing department capital project requisitions, ensuring accurate entry into databases and systems for Purchase Order creation.
- Overseeing department operating budgets and tracking expenses.
- Managing department pay requisitions, capital requisitions, and tracking purchase orders for capital budgets.
- Performing monthly accruals on capital projects Purchase Orders.
- Coordinating catering for special department events, both on-site and off-site.
- Managing the onboarding process for new team members and contractors, including IS requests for computers, cell phones, and other equipment.
- Handling daily clerical duties, such as managing business cards, mail, office supplies, visual management boards, and conference room bookings.
- Supporting the scheduling, planning, and preparation for department meetings and functions.
- Utilizing internal database systems after thorough training.
Must-Have Qualifications:
- Strong written and verbal communication skills.
- Excellent organizational skills to manage multiple projects effectively.
- Ability to thrive in a fast-paced and dynamic environment.
- Proficiency in Microsoft Office Suite (Word, PowerPoint, Excel, SharePoint, Outlook, Teams).
- High School Diploma.
- Willingness to travel to other facilities for training as needed.
Nice-to-Have Qualifications:
- Experience with SAP.
- Experience with Ariba.
- Experience with schedule management and coordination.
- Previous administrative experience in a related field.
The target hiring compensation range for this role is $24.00 to $26.67 an hour. Compensation is based on several factors including, but not limited to education, relevant work experience, relevant certifications, and location.
