As an Administrative Assistant, you will play a crucial role in ensuring smooth daily operations and successful project execution. Your organizational skills and attention to detail will directly impact the efficiency and productivity of the team. This role offers a unique opportunity to contribute to a fast-paced environment and gain valuable experience in various administrative functions.

As an Administrative Assistant, you will be responsible for:

  • Managing department capital project requisitions, ensuring accurate entry into databases and systems for Purchase Order creation.
  • Overseeing department operating budgets and tracking expenses.
  • Managing department pay requisitions, capital requisitions, and tracking purchase orders for capital budgets.
  • Performing monthly accruals on capital projects Purchase Orders.
  • Coordinating catering for special department events, both on-site and off-site.
  • Managing the onboarding process for new team members and contractors, including IS requests for computers, cell phones, and other equipment.
  • Handling daily clerical duties, such as managing business cards, mail, office supplies, visual management boards, and conference room bookings.
  • Supporting the scheduling, planning, and preparation for department meetings and functions.
  • Utilizing internal database systems after thorough training.

Must-Have Qualifications:

  • Strong written and verbal communication skills.
  • Excellent organizational skills to manage multiple projects effectively.
  • Ability to thrive in a fast-paced and dynamic environment.
  • Proficiency in Microsoft Office Suite (Word, PowerPoint, Excel, SharePoint, Outlook, Teams).
  • High School Diploma.
  • Willingness to travel to other facilities for training as needed.

Nice-to-Have Qualifications:

  • Experience with SAP.
  • Experience with Ariba.
  • Experience with schedule management and coordination.
  • Previous administrative experience in a related field.

The target hiring compensation range for this role is $24.00 to $26.67 an hour. Compensation is based on several factors including, but not limited to education, relevant work experience, relevant certifications, and location.
