Job Description:

Under the supervision of the Chair of the Liberal Arts and Sciences Department, the Department Coordinator assists with daily operations of the Department office and facilitates Department initiatives. In addition, the Department Coordinator provides administrative support to the Chair, Assistant Chair, and Project Manager to advance the student experience including all matters related to maintaining an organized, efficient flow of information with the Department (among faculty, students, staff) and other constituencies. On campus, the Department Coordinator also works closely with the Chair to organize, promote, and facilitate events and other initiatives—and is a key resource for students providing information and responding to questions. The Department Coordinator works closely with the Project Manager to seamlessly coordinate Department affairs.

Essential Duties and Responsibilities

Provide administrative and clerical support for the Chair, Assistant Chair, and Project Manager. This includes assisting with daily operations of the office; scheduling meetings; maintaining the Chair and Assistant Chair’s calendars; compiling faculty funding requests and preparing them for review; reserving rooms; routing technology service requests; arranging catering for meetings; recording, preparing, and distributing minutes for all Liberal Arts and Sciences Department meetings; and facilitating class cancellation processes when needed.

Manage inventories, archives, and records including maintaining Department records/files/forms; organizing and maintaining an accessible department archive, including syllabi, event materials, and communication records; ensuring department forms are updated with current information; taking meeting minutes; maintaining office/classroom supplies; and entering work orders.

Provide reception support by being a professional and welcoming presence in the Liberal Arts and Sciences Office. This includes greeting and helping students, faculty, staff, and visitors; referring students to appropriate offices and services on campus; providing information on courses/credit requirements and minors for current students; providing information on transfer credit policies; and representing the Liberal Arts Department at campus events as assigned.

Provide administrative and logistical support for events including visiting artist events and the Liberal Arts and Sciences Symposium; maintaining an event calendar and provide event information to students and faculty; and advertising events.

Coordinate information on the Liberal Arts and Sciences including content creation for and maintenance of Liberal Arts Department website and social media; compiling and editing a weekly Department newsletter and other department announcements as needed; and updating department documentation to reflect evolving information.

Provide ancillary supervision for Liberal Arts and Sciences student employees.

Qualifications

● Bachelor's degree and/or equivalent experience required

● 1-2 years of experience in office administration, college setting preferred

● Strong organizational skills, self-motivation and self-management

● Ability to carry out work responsibilities without direct supervision and to manage multiple tasks and competing priorities

● Excellent communication and interpersonal skills (orally and in writing)

● Excellent command of technology to support office work, particularly Excel

● Commitment to confidentiality and to supporting students, faculty, and staff

● Ability to rapidly adapt to a fast-paced and changing environment

Modality: Onsite

Time Frame: 20 weeks total starting as soon as possible
