Job Summary:
The Senior Agency Administrative Coordinator plays a vital role in supporting daily operations by managing phone communications, data entry, appointment scheduling, and providing sales support. This position will also assist with various administrative tasks and serve as a backup for the Office Accounting Coordinator and/or Manager. Key Responsibilities:
Working Conditions: In-office work with a moderate noise level. A phone headset is available upon request. NOTE: This is not a remote position.
Physical Demands: Regularly required to talk, hear, and manage stress. The role involves sitting, using hands for typing, and reaching with hands and arms.
Safety Hazards: Minimal hazards typical of a general office environment.

- Communication Management: Handle inbound calls and online inquiries while making outbound calls as necessary.
- Software Coordination: Collaborate with the local moving software team to enhance operations and maintain developer relationships.
- Appointment Scheduling: Arrange sales appointments for the sales team and manage orders for house accounts.
- Customer Interaction: Greet and assist walk-in drivers and customers, ensuring a positive experience.
- Support Operations: Assist Move Managers and the Operations department by following up with customers and confirming move details. Arrange third-party services as needed.
- Documentation Management: Sort, scan, and rate driver paperwork; collect payments from customers.
- Problem Resolution: Troubleshoot and assist with resolving issues related to agency orders.
- Data Entry: Input various data into accounting software and run/send weekly driver statements.
- Marketing Support: Promote the company through online and social media initiatives, collaborating with in-house and outsourced marketing teams.
- Proficient in computer applications; knowledge of basic accounting principles is a plus but not required.
- Excellent customer service skills with strong verbal communication abilities.
- Strong organizational skills; dependable and punctual.
- Ability to prioritize tasks, work independently, and handle pressure and deadlines effectively.
- Capable of multi-tasking and collaborating with a team.
- Ability to respond to inquiries from customers, vendors, and employees with a friendly demeanor.
