GENERAL DESCRIPTION:
Serves as the Registration Coordinator responsible for customer service, data entry, billing, and maintenance of electronic files related to seminar accounts receivable. Also responsible for a variety of TBCLE office related duties and coordinating with other staff members. Involves frequent contact with State Bar departments, attorneys, and the public. Reports to the Business Development and Finance Manager.
PRIMARY FUNCTIONS:
- Provides prompt and superior customer service via email and telephone with regard to seminar registrations and general questions about CLE seminars.
- Performs data entry daily of registrations received via fax, telephone, mail, and sales by the Firm & Group Sales Representative into the TBCLE Registration Database before formatting coded reports for the Accounting department.
- Completes daily reports by coding and reconciling reports for the Accounting department.
- Creates, codes and scans invoice requests and vouchers for outstanding payments to an electronic filing system.
- Responsible for coding daily deposits of checks from registrations and sponsorships.
- Generates registration rosters, speaker/registrant nametags, and book sales information for onsite coordinators.
- Orders course materials to be shipped to the law libraries.
- Processes scholarship applications after approval by the Division Director or their designee.
- Researches questions on billing requests or charge-backs from the Accounting Department or registrants.
- Processes refunds for course registrants and submits report to Accounting.
- Compiles billing for Accounting of various sections auto-enrollments & co-sponsorships of their member's attendance to selected programs.
- Investigates and tracks complimentary registrations and compiles a list for each site/course.
- Acts as back up to the TBCLE front desk customer service representative.
- Provides clerical assistance as needed and performs other duties as assigned
POSITION REQUIREMENTS:
High school diploma or equivalent required. A minimum three years of customer service and related office experience required; phone experience preferred. Computer skills including Windows, Microsoft Office, Internet, data entry and e-mail systems required. Experience with 10-key by touch preferred. Must be able to address the public in a courteous, professional and knowledgeable manner while performing multiple tasks. Requires the ability to communicate effectively and efficiently. Must be detail-oriented and organized.
