Position Summary
Manages advanced payroll/scheduling functions for the Airport Police Department (APD) employees. Ensures timely and accurate processing of bi-weekly payroll which includes reviewing schedules and timecards. Works with employees, supervisors, managers and Finance staff to address issues and ensure correct payroll records. Tracks officers' annual work hours and prepares related reports. Makes training and travel arrangements for department staff. Processes travel expenses and tracks expenditures for use in annual budget preparation. Assists with special projects and provides support to the Manager of Police Administration as needed. Performs other duties as assigned.
Hours/Schedule: Typical work hoursare Monday-Friday, 7:30 am - 4:00 pm or 8:00 am - 4:30 pm. There may be some flexibility in relation to specific work schedule. Most of the work for this position is completed onsite with a possibility for a limited hybrid in-person/remote work schedule following six months of employment. We anticipate there will be occasional, weekend overtime associated with biweekly payroll reviews. This overtime will be minimal and may be accomplished remotely.
Successful candidates must pass a comprehensive background check and be able to obtain a Security Identification Display Area (SIDA) airport badge.

JOB DUTIES
Bi-weekly Payroll Processing
- Process employee time entry submissions in the JD Edwards enterprise resource planning and Ultimate Kronos Group (UKG) software systems for approximately 200+ employees within the Airport Police Department verifying completeness, accuracy of hours and conformity with established MAC contract agreements and policies.
- Review calculations for overtime and contract premiums such as holiday, investigations, field training and instructor pay.
- Assist with resolving discrepancies in personnel actions and time records, while also working across departments for solutions.
Additional Significant Duties
- Maintain current knowledge of MAC policies, applicable federal and state laws and union contract agreements.
- Manage employee and other global changes in UKG system, including being department subject matter expert for implementation of new software programs and integrations.
- Create and manage annual Patrol schedule in collaboration with Patrol and Professional Standard Lieutenants to ensure shift minimums are met.
- Add/update shifts and employee assignments within UKG system.
- Build and update assignment templates related to shift rotations.
- Assist with automating annual bids and overtime shift opportunities.
- Track officers' annual hours and update balances bi-weekly by reviewing financial reports, schedules and timecards, leveraging a thorough working knowledge of the shifts and Airport Police Department functions.
- Provide information to internal auditors related to annual time accrual for police officers.
- Prepare and interpret bi-weekly payroll reports.
- Produce other reports as requested, i.e., overtime, grant, etc.
- Respond tactfully and timely to employee issues and requests for information.
Training/Travel
- Make training and travel arrangements for staff to attend various conferences, seminars and training programs.
- Provide employee training for online expense reporting process as needed.
- Assists with budget planning by tracking annual training/travel expenditures, including but not limited to creating self-tracking tools, monitoring of variance reports and following budget trends for the department.
Other
- Respond to background investigation data requests from law enforcement agencies and data subjects.
- Provide support with special administrative projects.
- Support Police Administrative Manager as needed.
- Additional duties as assigned.

MINIMUM REQUIREMENTS
- High school diploma or GED
- Two years of payroll processing and timekeeping experience, plus
- Two years of administrative support experience
- Proficiency in using payroll software
- Intermediate experience using Microsoft Outlook, Word and Excel
- Strong analytical and problem-solving skills
