The Executive Administrative Assistant is an integral member of Team CARFAX, providing administrative support to the CEO and senior leadership team. In addition, this role facilitates a variety of events and projects that set CARFAX apart as a great place to work. This position will require 5 days per week in our Centreville, VA headquarters. What you’ll be doing:
- Manage calendars, travel itineraries, expense reports, and correspondence for CEO and senior leadership team
- Plan and execute corporate meetings and events that wow our employees and business partners
- Welcome customers and partners from external organizations and facilitate their visits to the CARFAX headquarters
- Oversee projects recognizing employee milestones and achievements
- Provide additional support as needed to keep the CARFAX gears running smoothly
- Minimum 3 years’ executive support or office management experience.
- Advanced skills with MS Outlook/Scheduling
- Excellent interpersonal skills, both verbal and written
- Experience handling confidential and sensitive information with the utmost discretion
- Ability to multi-task effectively in a fast-paced environment
- Demonstrated ability to coordinate complex travel arrangements including international travel
- Advanced expense reporting experience including entry, tracking and reconciliation with Concur or similar system
- Flexibility, ability to remain calm, cool, and collected
- Initiative, self-starter, and enjoy rolling sleeves up and pitching in to help
