Budget Assistant, Administrative Assistant IIDepartment Summary
The Division of Academic Affairs builds, sustains, and continually enhances an environment of teaching, learning, and scholarship that meets and readily adapts to the changing needs of students, faculty, librarians, and staff; promotes the generation and sharing of new knowledge and innovative approaches; and actively cultivates professional advancement, public responsibility, and personal well-being.The Oce of the Provost works with divisional and campus constituencies to advance the core values of academic excellence, opportunity, and innovation. Among other key responsibilities, the Oce coordinates the planning of new degree programs, hiring and evaluation of faculty, and ensures an effective teaching and learning environment.
BSU's degree programs are offered through six colleges: the Ricciardi College of Business, the College of Education and Health Sciences, the College of Humanities and Social Sciences, the Bartlett College of Science and Mathematics, the College of Continuing Studies, and the College of Graduate Studies. Student support services are offered through several oces within the Division of Academic Affairs: the University's Library Services, Academic Achievement Center, and the Registrar. Faculty support services are available through the Center for the Advancement of Research and Scholarship, the Oce of Grants and Sponsored Projects, the Oce of Teaching and Learning, the Oce of Institutional Research, and the Oce of Assessment.
The Minnock Institute for Global Engagement (MIGE) provides opportunities to the BSU community for academic programs, travel, research, and community service. The Center for Transformative Learning is a hub for connecting and enhancing BSU's high-impact practices (HIPs), including community engagement, internships, global learning, undergraduate research, and the Honors Program.

Position Summary
The budget assistant plays a critical role in assisting the divisional budget manager in managing finances in the Office of the Provost and Division of Academic Affairs. They are responsible for maintaining accurate records, ensuring budget security, and communicating professionally with clients, staff, and the university community. This role requires strong attention to detail, financial judgment, and the ability to work collaboratively with various stakeholders and cohesively with the Assistant Director, Budget.Supervision Received: Assistant Director, Budget

Tour of Duty: Monday - Friday, 8:45 AM-5:00 PM (with Saturday and Sunday as days off).

This position is located on campus in Bridgewater, MA. This position is eligible for hybrid / remote work in accordance with BSU remote work policy.
This is a non-essential position.

- Acts as an additional point of contact for faculty and staff in need of support with Concur and travel reimbursements.
- Assists the Associate Provost for Academic and Faculty Affairs with the Dean-Provost Scholarship Support disbursements.
- Responsible for submitting and tracking summer stipends for faculty, as well as disbursing and tracking additional compensation forms issued through the Oce of the Provost.
- Administers several faculty-led program budgets from procurement through accounting.
- Responsible for the requisition process for Faculty Librarian Research Grants (8 per semester-16 concurrent FLRGs per year) and acquisition of capital expenses under the direction of the divisional budget manager providing updates on expenditures and funding to the Associate Provost for Academic and Faculty Affairs.
- Organizes the financial Faculty & Librarian Excellence Awards' budget, providing updates on expenditures and funding to the Associate Provost for Academic and Faculty Affairs and facilities payments to award winners.
- Works proactively to ensure the division utilizes resources in a scally responsible manner.
- Assist divisional budget manager with guiding faculty, deans, directors and departmental staff in resolving budget-related issues and problems with purchasing goods and services
- Works cohesively with the divisional budget manager and collegiately with other various University departments and offices.
- Perform other duties as may be assigned.
Required Qualifications
* Applicants must have at least (A) three years of full-time, or equivalent part-time, experience in office management, office administration, business administration or business management, the major duties of which included one or more of the following functions: purchasing, personnel management, budgeting, accounting, records management, work simplification, grants management, contract administration or program management, or (B) any equivalent combination of the required experience and the substitutions listed in the MA State Job Specifications.* Knowledge of the principles and practices of office management
* Ability to understand, explain and apply the laws, rules, regulations, policies, procedures, specifications, standards and guidelines governing assigned unit activities.
* Ability to analyze and determine the applicability of data, to draw conclusions and to make appropriate recommendations.
* Ability to follow written and oral instructions.
* Ability to gather information through questioning individuals and by examining records and documents.
* Ability to write concisely, to express thoughts clearly and to develop ideas in logical sequence.
* Ability to assemble items of information in accordance with established procedures.

* Ability to supervise, including planning and assigning work according to the nature of the job to be accomplished, the capabilities of subordinates and available resources; controlling work through periodic reviews and /or evaluations; determining subordinates' training needs and providing or arranging for such training; motivating subordinates to work effectively; determining the need for disciplinary action and either recommending or initiating disciplinary action.
