Health and Kinesiology has five majors: Physical Education, Exercise Physiology, Public Health, Health Studies and Health Science includes 17 full-time faculty members, 50 part-time faculty members; and 800 undergraduate and graduate students. As a department, we promote the acquisition and application of knowledge for a diverse population in human movement, teaching physical education, health studies, public health, recreation, coaching, nutrition, adapted physical education and health science.
Position Summary
Serving a diverse campus community, the Administrative Assistant I will serve as the primary contact for student questions, responding to inquiries via phone, in person and email; administrative matters regarding academic affairs, accreditation, faculty concerns, and budget/facility/scheduling issues. This positions also supervises several student workers who assist in the day to day management of the busy office.We are committed to creating a community that fosters inclusion of experience and opportunity, and ensures that students, faculty, and staff of all backgrounds feel safe, welcome, and included.
This is a full-time, 12-month, AFSCME and is subject to the terms of that unit agreement.
Tour of Duty: 8:45 a.m. - 5:00 p.m.
Monday through Friday
(Saturdays and Sundays as days off)
Essential Duties
1. Supervise and train student employees.2. Update and maintain the Health and Kinesiology Bridgenet site; develop and maintain social media platforms for the HK department; develop and maintain HK promotion materials.
3. Maintain inventory of office supplies, technology, and equipment for physical activity courses and labs; order equipment and supplies as needed.
4. Schedule or arrange for conferences, meetings, and interviews by reserving required facilities, checking the availability of parties involved and notifying appropriate individuals of dates, times and locations.
5. Maintain attendance records for faculty.
6. Prepare and update course schedules using the year long scheduling process.
7. Oversee budgets for the Department, prepare purchase orders, contracts, and budget transfers.
8. Collect data and prepare ad hoc reports.
9. Organize several social events in the Department.
10. Attend Department and GCC meetings and take the minutes of the meetings.
11. Maintain undergraduate and graduate student advising lists.
12. Other duties as assigned.
Required Qualifications
- Applicants must have at least (A) one year of full-time, or equivalent part-time, experience in office management, office administration, business administration or business management, the major duties of which included one or more of the following functions: purchasing, personnel management, budgeting, accounting, records management, work simplification, grants management, contract administration or program management, (B) any equivalent combination of the required experience and the substitutions below:
- An Associate's or higher degree with a major in business administration, business management or public administration may be substituted for the required experience.
- An Associate's or higher degree with a major other than in business administration, business management or public administration may be substituted for a maximum of one year of the required experience.
