The Payroll Office oversees all aspects of employee compensation relating to attendance, wages, deductions, statute, collective bargaining agreements and applicable state and federal laws that govern all employees. Our mission is to create a welcoming and inclusive work environment by providing timely and accurate payroll services in a professional manner while maintaining compliance with campus and Commonwealth of Massachusetts policies and guidelines, collective bargaining provisions and State and Federal laws.

Position Summary

This position provides a welcoming and inclusive environment by providing customer service to a diverse campus community of employees and students. Handles all payments for part-time staff and student employees; is responsible for data entry and compliance for tax withholding for all employee groups; responsible for entry and auditing of Work Study student payroll; calculates and enters payments for part-time faculty payments. Considers diverse and multicultural perspectives while answering main office phone line, assisting employees with general questions, timesheet assistance, password resets and paycheck questions.

Tour of Duty: Monday-Friday, 9:00 AM - 5:00 PM
(Subject to Change)
(Sat. and Sun. as days off)
This position is eligible for remote work in compliance with University policy.

Essential Duties

  • Handles payments for all part-time employees, including entry and auditing of time submissions.
  • Processes all student and work-study payments.
  • Maintains and enters tax forms for all employees (W-4, M-4)
  • Ensures all self service timesheets are entered and approved weekly. Sends appropriate weekly reminders to staff as needed.
  • Creates and maintains spreadsheets to ensure proper payment and reconciliation of bi-weekly payroll.
  • Assists with administering Employee Self Service Time & Attendance (SSTA), provide training to approvers, reset passwords, generate reports and correspond with users.
  • Provide customer service and promptly respond to employee payroll inquiries.
  • Builds and maintains payroll databases.
  • Provides bi-weekly payroll expense reports to departments as needed
  • Provides phone support to employees and students regarding all applicable payroll questions.
  • Assists Administrative Assistant I and Accountant II positions in Payroll Office as needed.
  • Scan and index documents into BDM system as required.
  • Contribute to a team effort and supports other Payroll staff members as necessary.
  • Maintain confidentiality at all times.
  • Comply with federal & state laws, as well as local contractual requirements.
  • Maintain security by following department internal processes and controls.
  • Performs related duties as assigned.

Required Qualifications

1. Applicants must have at least (A) two years of full-time, or equivalent part-time, professional experience in accounting or auditing, or (B) any equivalent combination of the required experience and the following substitutions:
  • An Associate's degree with a major in accounting, business administration or business management may be substituted for a maximum of one year of the required experience.
  • Bachelor's or higher degree with a major in accounting, business administration or business management may be substituted for the required experience.
  • or any equivalent combination of the required (A) experience and the substitutions listed in the MA State Job Specifications.

10. Ability to maintain accurate records.

Preferred Qualifications

  • Payroll/ Accounting experience
  • Data entry experience
  • Ability to manage multiple priorities
  • Excellent computer skills including Microsoft Office, Banner, HRCMS (PeopleSoft)
  • Knowledge of higher education principles and practices
  • Bachelor's Degree in Accounting or Human Resources Management
  • Experience in a collective bargaining environment
